How to send a fax online (and show proof afterward)
NeedToFax trims faxing down to three decisions: upload your document, approve a $1-per-ten-pages charge, and watch the confirmation modal for the official job ID. Here’s how to get through a submission without touching a physical machine.
1. Upload and tag your document
Click “Choose document” on the homepage and select a PDF or image. If you’re on mobile, the file picker lets you grab a camera scan or something from Files/Drive. Add optional sender details plus internal tags so finance or compliance teams can reconcile the charge later.
When you upload an image, NeedToFax converts it to a PDF in the browser. That keeps file sizes predictable and avoids weird scaling before we hand it to our fax carrier.
2. Approve the flat $1 billing
After you hit “Send fax” we show the payment modal with your estimated page count (rounded up in bundles of ten). Payments run through Stripe Elements so card data never hits NeedToFax—only a payment intent ID travels with your fax request. Enter the cardholder name, confirm the amount, and tap “Pay & Send.”
- Charges are $1 per ten pages. Anything under ten pages still costs $1.
- You’ll see a spinner for a few seconds while Stripe confirms the payment intent.
- Once approved, we immediately dispatch the fax without asking you to re-upload.
3. Track the fax status
NeedToFax submits your PDF to our carrier and starts polling their status feed every few seconds. As soon as they acknowledge the job, we pop open a confirmation modal with:
- The fax job ID.
- The current carrier status (In Queue, Sending, Delivered, etc.).
- A recap of the card digits that were charged.
Leave the modal open to watch status updates roll in, or click “Done” and reference the job ID later if you need support. We can also email the same details for your records.
Tips for faster submissions
- Keep PDFs under ~20 MB so uploads finish quickly over LTE.
- Use the tag fields to label client names or matter numbers—you’ll see them again in receipts.
- Save your alias email (fax-123456@need2fax.local) if you frequently fax the same destination; we reuse accounts tied to that email automatically.
