Secure online faxing checklist

Compliance teams still depend on faxing because the medium gives a predictable audit trail. This checklist shows how NeedToFax keeps each step tidy—from uploads to payment receipts—so you can document every send without running your own hardware.

1. Keep documents in the browser when possible

NeedToFax converts most images to PDF client-side. That means sensitive scans spend less time in transit, and the file that reaches our API is predictable. If you upload a PDF we keep it as-is—no hidden compression or metadata rewriting.

  • Use the latest desktop or mobile browser so in-browser conversion stays fast.
  • Double-check the preview filename; it’s the same one we display in receipts.

2. Tag every submission for future audits

The tag fields in the NeedToFax form flow into the payload we send to the carrier and to the confirmation modal you see after payment. Use client names, claim numbers, or invoice IDs—anything you might need when reconciling statements.

The same tags appear when you revisit your fax history, making it trivial to export proof for auditors.

3. Rely on Stripe Elements for billing hygiene

NeedToFax never stores or transmits raw card numbers. Stripe Elements hosts the secure input fields and returns only a payment intent ID to us. We charge $1 for each bundle of ten pages, the same amount displayed before you confirm payment.

  • Use a shared billing card? Tag the fax with the department so accounting can cross-reference later.
  • Need a receipt? The confirmation modal shows the last four digits and amount immediately.

4. Capture the job ID after every send

After Stripe confirms payment we open a modal with the fax job ID and current carrier status. Screenshot it, jot it in your CRM, or click the optional email button—just make sure it lands somewhere your team can reach later.

Job IDs are the quickest way for NeedToFax support to check on a transmission if you ever need follow-up.

5. Purge local files after you’re done

Because uploads happen directly from your machine, you control the source copies. Delete any temporary scans or exports you no longer need, or store them in your secure document system rather than on a desktop.
